Setting Up Your Gym on PTLog: The First Week, Step by Step

PTLogSeptember 14, 20263 min read

TL;DR

Your address and brand are ready on day one. The next six days: pick modules, define roles, enter packages and session types, invite staff, migrate members, set the rules, send the first notification. Migration is on our side; your job is to tell us the rules.

Day 0: Address and brand

You send us a name, a logo and a primary colour. Within hours yourgym.ptlog.dev is running; we connect your own domain if you want. The whole theme is derived from the colour: panel, member app, icons, notification colour. The engine checks contrast; it won't produce an unreadable combination.

Day 1: Modules

Settings → Modules. Fifteen switches. Turn off what you don't use: no classes, switch off "Classes"; no turnstile, switch off "Turnstile". A module you switch off leaves the menu and the member app; whatever depends on it goes with it (online payments go when finance goes, for instance).

Day 2: Roles and permissions

Settings → Roles. The bundled "Owner", "Trainer" and "Member" are a starting point; build your own: "Front desk" takes payments but doesn't see the finance report, "Head trainer" manages program templates. Permissions toggle one by one.

Day 3: Packages and session types

  • Packages: "10 sessions", "monthly unlimited", "8 classes". Price, session count, validity, freeze allowance.
  • Session types: one-to-one, online, assessment; for classes: type, capacity, recurrence.
  • Rules: cancellation cut-off, no-show deduction, waitlist behaviour. All in Settings.

Day 4: Staff

Invite trainers by email or link; pick their role. Enter the compensation model: fixed monthly, per session, or a percentage of collections. The payroll report builds itself at month end.

Day 5: Members

Send us the member list (Excel, an export from the old software, whatever you have). We import it: name, phone, active package, remaining credit, end date. Members receive invitations; on first sign-in the app goes on their home screen.

Bilgi

When migrating credit, "how many sessions were left in the old system" is the question that takes the most time. Make sure that column is in the list you send.

Day 6: Notifications

Settings → Notifications. A catalogue of sixteen rules: session reminder, credit running low, package ending, long absence, new announcement, payment received… Switch each one on separately, set its time and write its wording in your own words. Channel: app notification, email, or both.

Day 7: First day live

The QR scan screen at the front desk, the calendar for trainers, the "Today" screen for members. Schedule a session, complete it, watch the credit drop. The first collection shows up in the Finance tab in your colour.

After that

The dashboard holds the last fourteen days of sessions and check-ins, six months of finance, the new-member curve, packages ending soon and members at risk. Weekly and monthly summaries are written automatically; they take two minutes to read.
