How to Choose Gym Management Software: The Owner's Checklist
TL;DR
When choosing gym software look at three things: is the data yours (export, deletion, no mixing with other gyms), are the rules settings or code (cancellation cut-off, package deduction, notification wording), and how frictionless is the member side (app store or not, home-screen install, opens under your name). Price is the last question.
First, write down what you manage
A gym manages four things: people (members, trainers, front desk), time (one-to-one sessions, classes, capacity), credit (packages, remaining sessions, freezing, renewal) and money (collections, expenses, payroll). If those four don't live in one place, the work spreads across Excel, WhatsApp and a notebook, and every month ends with a "how many sessions does she have left" argument.
Build your list around those four. During a demo, classify every screen: which of the four is this? A screen that fits none is decoration.
Ten questions to ask
1. Where does the remaining-session counter change?
On the server. A counter that changes "by hand" on the member's phone, the trainer's screen or a spreadsheet will eventually be wrong. Look for one that counts down when a session completes, and does or doesn't when a cancellation rule says so.
2. Who owns the cancellation and absence rules?
"Free cancellation up to 12 hours before" differs from gym to gym. It must be a setting; if you need to email a developer to change it, the rule lives in code.
3. Does the member app come from an app store?
A store app means release reviews, waiting for updates, and usually another company's name on top of the app. A branded web app that sits on the home screen, receives notifications and opens with one tap is the better fit for most gyms. Members shouldn't ask "which app do I download"; they should tap the gym's name.
4. Is there a turnstile, or will there be?
Software that doesn't connect to a turnstile makes the front desk say "show me your card". A system with single-use QR codes and an open device protocol connects to whatever turnstile arrives.
5. Whose data is it?
Can you export the member list in one click? If you leave, is your data deleted or handed to you? Does it sit in the same table as another gym's? The answers to those three belong in the contract.
6. Are roles defined by the gym?
A "trainer" writes programs in one gym and also takes payments in another. Systems that ship with three fixed roles feel tight by the second month. You need to build the role and its permissions yourself.
7. Who writes the notifications?
The time and the wording of "you have a session tomorrow at 18:00" should be the gym's. Look for a catalogue where every rule can be switched on and off separately.
8. Are training and progress in the same place?
Writing programs, taking measurements and the member seeing them on their phone should be one flow. A separate "training app" means a second login, a second password, a second thing to lose.
9. Is the finance report real?
Income − expenses − payroll = net. If that one line isn't shown monthly and filterable by branch, "did we make money" is left to the accountant.
10. How is it priced?
Per-member pricing turns into a penalty as the gym grows. One annual licence is a predictable budget.
Comparison table
| Question | Good answer | Bad answer | |---|---|---| | Remaining sessions | Server-side, rule-based | Manual | | Cancellation rule | Setting | Code | | Member app | Branded web app | Store, someone else's name | | Turnstile | Open protocol, QR | None / single brand | | Data | Export + right to delete | Unclear | | Roles | Defined by the gym | Three fixed roles | | Notifications | Catalogue, gym's wording | Fixed text | | Price | One annual licence | Per member |
Ipucu
In the demo, ask for this: "Assign a package to a member, schedule a session, complete it, show the remaining credit dropping, then cancel a session and change the rule." Five minutes shows you the system's backbone.
How PTLog answers this list
PTLog is licensed to gyms annually; every gym runs on its own subdomain with its own logo and colours. Fifteen modules switch on and off with one toggle. Cancellation cut-off, QR lifetime, absence threshold, tax rate and notification wording are settings. The member app is a store-free branded web app on the home screen. Each gym's data is isolated at the database level, and automated tests confirm it on every release.
